This is a question we hear from a lot of small business owners, and the short answer is that Gmail itself is a great platform. The problem isn't Gmail. It's the domain sitting after the @ symbol.
Why your email address matters more than you'd think
When a customer sees an email coming from something like yourname@gmail.com, it reads as a personal, everyday address rather than a business one. It doesn't build the same trust as an email tied to your actual business name. Something like yourname@yourbusiness.com or info@yourbusiness.com instantly looks more credible, and it's a small detail that adds real social proof for your business.
The good news is you don't have to give up Gmail to fix this. Through Google Workspace, you can keep using the Gmail interface you're already familiar with, but with an inbox that runs on your own domain instead of gmail.com. Nothing changes on your end day to day. It just looks a lot more professional to everyone you're emailing.
When you need more than one inbox
If you're managing a single business with a single inbox, Google Workspace is usually all you need. But some businesses need a lot more than that. It's not unusual for a single company to need eight or nine separate inboxes, like one for USPS pickup requests, one for order notifications, one for customer service, and one for accounts payable, especially for businesses running an ecommerce store.
In that situation, we recommend Zoho Mail over Google Workspace or Microsoft Outlook. Zoho makes it easy to manage multiple inboxes from one place, and you can delegate access so specific team members only see the mailboxes relevant to them. Outlook can technically do some of this too, but it's a dated platform that's increasingly falling out of favor for this kind of setup. Zoho is built for exactly this use case, and it does it well.
When security is the priority
If your business handles especially sensitive information, like a law firm, an accounting practice, or anything that needs to stay HIPAA compliant, ProtonMail is worth a serious look. Every bit of traffic through ProtonMail is encrypted, which makes it one of the strongest options available for businesses where confidentiality isn't optional. It's also a genuinely affordable option, similar to Zoho, so strong security doesn't have to come with a steep price tag.
The bottom line
You don't need to abandon Gmail to have a professional email setup. What matters is pairing it with your own domain through Google Workspace, or moving to a platform like Zoho or ProtonMail if your business has more complex inbox needs or higher security requirements. Either way, a custom domain email is one of the simplest upgrades a business can make to look more established right out of the gate.
